This Privacy Policy explains how we collect, use and handle personal data when you visit our website, subscribe to our publications, attend our events, or otherwise use our products and services. 1. Personal Data We Collect
Providing personal data to us is voluntary. However, if you do not provide the data we ask for, we may be unable to supply a subscription, register you for an event, process a payment, or respond to your enquiry.
Data you provide directly
Your name, email address, telephone number, job title, employer, postal address and payment details. We collect these when you subscribe, register for an event, enter an awards programme, or contact us.
Data collected automatically
Your IP address, device and browser type, operating system, referring page, pages viewed, and time spent on our sites. This is collected through server logs, cookies and similar technologies.
Data from other sources
Limited business and demographic information from commercial data providers and publicly available sources, used to keep our subscriber records accurate and to understand our professional readership.
Our services are intended for insurance and risk professionals. We do not knowingly collect personal data from children.
2. Purposes of Collection
We collect and use personal data for purposes directly related to our business as a trade publisher, namely to:
- Provide our products and services, including authenticating subscribers, managing accounts and processing payments

We will not use your personal data for direct marketing, and will not provide it to any other person for direct marketing, unless you have consented or indicated no objection. Where the law requires it, we will not provide your data to others for their own direct marketing for gain unless you have given written consent.
You may withdraw your consent, and ask us to stop using or providing your personal data for direct marketing, at any time and free of charge. Email [email protected], or use the unsubscribe link in any marketing email. We will act on your request without charge.
4. Transfer and Disclosure
We keep personal data confidential, but may transfer or disclose it to:
- Agents and service providers who handle data on our behalf under contract, including payment processors, email and CRM platforms, hosting, and analytics providers. They may use the data only to provide services to us, and we require them to protect it.
- Event partners and sponsors, where you registered for an event, were told at registration that your details would be shared, and consented to that sharing.
- Professional advisers, such as auditors and lawyers, where necessary.
- Regulators, law enforcement, courts or other authorities, where we are required or permitted by law to do so.
- A successor entity, in connection with a merger, acquisition or sale of assets, subject to this Policy.
Advertising on our website is served contextually and through our advertising technology providers, who may set cookies and similar identifiers as described in our cookie settings. You can manage those preferences at any time.
5. Third-Party Platforms and APIs
We operate accounts and pages on third-party platforms, including LinkedIn and other social and distribution platforms, to publish and promote our own editorial content.
To do this, we use those platforms’ official APIs. In that context:
- What we publish: our own editorial content, meaning headlines, summaries, images and links to articles on reinasia.com.
- What we access: authentication credentials for the accounts and pages we ourselves administer, together with aggregate performance data about our own posts, such as impressions, clicks and reactions.
- What we do not do: we do not collect, store, handle, sell or enrich personal data about members or users of those platforms. We do not use platform APIs to build or supplement any database of individuals, and we do not use them for lead generation, recruitment sourcing, or competitive intelligence.
- Credentials: access tokens are held securely, restricted to authorised staff, and used solely to publish and measure our own content. They are revoked on request, on disconnection, or when no longer required.
- Aggregate performance data relating to our own posts is retained for up to 24 months for editorial and commercial reporting, then deleted.
Your use of those platforms is governed by the relevant platform’s own privacy policy, which we do not control.
6. Cookies
We use cookies and similar technologies to operate our website, remember your preferences, measure audience and content performance, and support advertising. You can change or withdraw your cookie preferences at any time through the cookie settings on our website, or by adjusting your browser settings. Blocking some cookies may affect how parts of the site work.
7. Overseas Handling
We operate across Asia-Pacific and use service providers located outside Hong Kong, including in the United States, the United Kingdom and the European Union. Your personal data may therefore be handled outside Hong Kong.
Where this happens, we take reasonably practicable steps to ensure your data receives a level of protection comparable to that required under the Ordinance, including by contract with the parties handling it on our behalf.
8. Retention
We keep personal data only for as long as is necessary to fulfil the purposes for which it was collected, and then erase it:

Where we are required to keep records for longer by law, we do so.
9. Security
We take practicable steps to protect personal data against unauthorised or accidental access, processing, erasure, loss or use. These include encryption of data in transit, access controls, and restricting access to staff who need it for their work. No system is entirely secure, but we review our measures regularly.
10. Access and Correction
Under the Ordinance you have the right to:
- Ask whether we hold personal data about you, and request a copy of it (a data access request)
- Request that we correct any personal data about you that is inaccurate (a data correction request)
- Ask us to stop using or providing your personal data for direct marketing, at any time and free of charge
Send any request to [email protected], or by post to the address below. We may need to verify your identity before acting on it. We will respond within 40 days. We may charge a reasonable fee for complying with a data access request, as the Ordinance permits.
If you are located in a jurisdiction whose data protection laws also apply to our handling of your data, such as the United Kingdom or the European Economic Area, you may have further rights. Contact us and we will deal with your request in accordance with the applicable law.

We may update this Privacy Policy from time to time. We will post the updated version on our website and revise the “Last updated” date above. Material changes will be notified to subscribers by email.
